FootageFerret analyses your footage and photos on your computer. We collect only the account, purchase and activation information needed to sell, license and support the software.
The main point
Your original footage, photos, thumbnails, previews, descriptions, folder structure and search catalogue are stored locally in the workspace locations you choose. FootageFerret does not upload that library to us for AI analysis.
1. Who is responsible
Ninmo Productions Limited, trading as FootageFerret, is responsible for the personal information described in this policy. Our Privacy Officer can be contacted at support@footageferret.com.
2. Information the desktop app handles locally
The app reads the media locations you choose and may create local thumbnails, preview files, technical metadata, descriptions, search indexes, lists, notes and settings. These stay on your devices or storage locations unless you choose to move or back them up.
When you activate a paid licence, the app sends your licence key, a randomly generated installation identifier, a device credential and a device label to the FootageFerret licensing service. Later licence checks send the licence identifier, installation identifier and device credential. The service records the last successful check and returns a signed entitlement. We store a hash of the device credential on the server. Windows protects the local licence record using its user account protection.
Your media, catalogue contents, descriptions and search terms are not sent for licence checks. Library transfer packages do not contain your activation credentials. Email verification creates a management session that expires after 30 minutes.
3. Information we collect
Depending on how you use FootageFerret, we may collect:
- your email address and support correspondence;
- Stripe customer, checkout, payment and receipt references;
- your licence status, update entitlement date and the last four characters of your licence key;
- an encrypted copy of the licence key so it can be delivered and recovered;
- installation identifiers, device labels and activation dates;
- basic website and service logs such as request time, IP address, browser type and error information.
We do not receive or store your complete payment card number. Stripe handles card information.
4. Why we use this information
We use personal information to:
- process purchases and refunds;
- issue, activate, recover and administer licences;
- send receipts, licence details, security messages and product support replies;
- prevent fraud, abuse and unauthorised licence sharing;
- diagnose service failures and protect our systems;
- meet tax, accounting and legal obligations.
We do not sell personal information or use your media library to train shared AI models.
5. Providers and overseas processing
We use service providers where needed to operate FootageFerret. These include Stripe for payments, Cloudflare for service hosting and security, OpenAI Sites for website hosting, and SMTP2Go for transactional email. These providers may process information outside New Zealand under their own security and privacy terms.
We disclose only the information each provider needs for its role. We may also disclose information where required by law, or to protect FootageFerret, our customers or others from fraud or harm.
6. Retention
We retain purchase and accounting records for at least seven years where New Zealand tax law requires it. We retain licence and activation records while needed to provide your permanent licence and prevent misuse. Support correspondence and operational logs are kept only as long as reasonably needed for support, security and legal purposes.
If a refund is issued, we keep the transaction record and mark the licence as refunded rather than deleting the accounting history.
7. Cookies and checkout
The FootageFerret landing page does not use advertising trackers. When you continue to Stripe Checkout, Stripe may use cookies and related technology to provide payment, security and fraud-prevention services.
8. Security and data breaches
We use access controls, encrypted connections, signed licence entitlements and encrypted licence delivery data. No system can be guaranteed completely secure. If a privacy breach creates or may create serious harm, we will follow the notification requirements of the New Zealand Privacy Act 2020.
9. Your choices and rights
You may ask for access to, or correction of, personal information we hold about you. You may also ask us to delete information that we no longer need to retain. Email support@footageferret.com from the address connected to your purchase so we can verify the request.
You can remove local catalogue and preview data through FootageFerret. Removing local data does not remove purchase, licence or legally required accounting records held by us.
10. Changes and contact
We may update this policy when the product or our providers change. The current version will always show its effective date.
